Business Administrator Apprentice

We are looking for a Business Administrator Apprentice to support the Installations and Accounts departments by upkeeping contract files through both digital and physical filing systems, processing contracts, and sending customer documents at both the beginning and the end of each contract, ensuring timely delivery of customer documents, and producing weekly key documents to facilitate Retail Installations.

Hourly Wage

£5.28 per hour

This means you’ll earn the National Minimum Apprentice Wage.

Working Week

35 – 37.5 Hours per Week

You will work between 35 and 37.5 hours per week.

Taking roughly 12-18 months to finish, this apprenticeship is equivalent to 2 A-levels.

Responsibilities & Tasks

  • Scanning and saving documents at various stages of each contract into customer files in Profit Maker, ensuring they are always up to date.
  • Downloading and saving Installations WhatsApp images into Profit Maker.
  • Producing sign-off sheets for installations packs for each job.
  • Printing customer invoices for payment on installation.
  • Producing weekly installations packs.
  • Sending weekly installation confirmation emails to customers.
  • Filing all processed contracts.
  • Taking customer payments over the telephone.
  • Answering the telephone & directing calls appropriately.
  • Producing customer warranty documents and emailing / posting to customers.
  • Registering completed installations with Certass.
  • Scanning & saving Customer Questionnaire’s into Profit Maker & emailing to the Sales Department.
  • Accounts Department Tasks.
  • Scanning completed contracts, saving into Profit Maker & shredding once complete.
  • Producing and posting customer welcome letters for all new Retail contracts.
  • Processing new contracts: adding to the Accounts spreadsheet, updating Profit Maker, logging details into Xero (creating new customers, creating new projects, adding Budgets into projects, creating deposit invoices), before passing to Accounts to process deposit payments.
  • Adding supplier invoices to Xero, (includes checking PO details, dates and values and attaching the invoices into Xero).

Apprenticeship Programme & Training

  • Full day-to-day training will be provided by the employer.
  • This apprenticeship qualification is called Level 3 Business Administrator.
  • If you do not have grades A-C/9-4 in GCSE maths and English, you will be required to complete Level 2 Functional Skills maths and English.
  • The learning will be delivered by dedicated, industry-specialist tutors via remote or face-to-face sessions. The only exception are any speaking and listening assessments – these may be delivered in a classroom.
  • These session take place once per month, for roughly 2 hours, at a time convenient for both you and the employer.
  • You can expect to be eligible for Business Administrator posts, or for a higher-level apprenticeship upon completing this apprenticeship.
